NTCA Health and Safety Protocols for In-Person Events

 

NTCA is committed to safeguarding the health and safety of our members and employees while continuing to host productive and effective meetings. As we continue to navigate the COVID-19 pandemic, the following mitigation efforts for safety and procedures in meeting rooms have been developed based on guidance from the Centers for Disease Control (CDC) and public health officials. NTCA will continue to follow CDC guidance and requirements, state and local regulations where the event is taking place, and any requirements of the venue. NTCA Health and Safety Protocols for In-Person Events is a living document that will continue to evolve, incorporating updates that will further enhance the onsite experience and safety for everyone in attendance.


Protocols for All Attendees 

  • Anyone unvaccinated and having underlying COVID-19 related risk factors is discouraged from attending NTCA meetings. 

  • Do not travel to the meeting if 1) you are experiencing COVID-19 symptoms at the time you are scheduled to travel, or 2) you were exposed to someone with COVID-19 within 10 days prior to travel or have had a positive COVID-19 test within 10 days of travel, irrespective of symptoms. 

  • To help protect yourself and each other, NTCA follows CDC recommendations.

  • You must adhere to all state and local regulations and requirements of the venue. 

  • Hand shaking and other physical contact should be avoided. 

  • If you experience COVID-19 symptoms while on site at the meeting, return to your room, remain isolated and notify NTCA Vice President Jennifer Jushchuk at (571) 214-7681. NTCA staff will offer you information on COVID testing locations and other medical services, as requested. You may return to program activities if you present a negative test result. If positive for COVID-19, NTCA may help you identify an appropriate course of action. 

  • Contact NTCA if you test positive for COVID-19 within 14 days of returning home. 

Protocols for Speakers

NTCA will maintain a minimum spacing of 6 feet between the speaker and attendees or other panel participants. 

Protocols for NTCA Staff 

  • Only fully vaccinated staff members, including applicable boosters, are permitted to travel. 

  • Staff must adhere to all health and safety guidelines of CDC, state and local regulations and requirements of the venue. 

  • Staff are required to wear masks when the community level transmission of the meeting location is at a HIGH level according to the CDC.

  • Staff may opt out of any non-essential meeting functions and may make requests for additional precautionary measures. 

  • Staff must understand, acknowledge and sign NTCA’s In Person Meeting Safety Protocols for COVID-19. 

Additional Safety Measures for NTCA Meetings 

  • Masks will be made available for all attendees.
  • Hand sanitizer will be available at various locations throughout the meeting venue(s).
  • Signage will indicate proper spacing where appropriate.
  • Signage will remind attendees of safety protocols.
  • Where feasible, physical layouts will be arranged to provide for appropriate distancing.
  • Floorplans will match physical distancing guidelines from local health authorities or venue requirements, if any.
  • Self-serve check-in/mobile badge printing will be available, where feasible.
  • Cleaning protocols will be utilized.


NTCA reserves the right to deny entry to any seeking admittance or remove them from the venue should they present with any COVID-19 like symptoms or refuse to follow NTCA health and safety protocols.
